While there are many good email alternatives out there, including in the cloud services, there is really only one email tool that will allow you to organize and use multiple email accounts.
Microsoft’s Outlook. It should come as no surprise that you need to backup Outlook at regular intervals and be ready to restore your Outlook accounts in the event of a catastropic system failure, or if your workstation needs to rejoin or otherwise change domains in a Windows Server environment.
It should also come as no surprise that the instructions for performing these tasks are readilly available.
For a complete how to for backup and restore please see http://www.howto-outlook.com/howto/backupandrestore.htm.
Also keep in mind, that the files you need to access are usually kept in protective directories, the \Local Settings\ folder. For instruction on how to make these files accessable, please see http://technet.microsoft.com/en-us/library/bb456988.aspx.
